Guildmancy helps you build and host Discord bots and set up your server. This page says what we keep about you and your bots, why, for how long, who helps us run it, and what you can ask of us. We keep what the service needs and nothing more: no ads, no tracking, no selling data.
Who is responsible
For anything about your data, write to [email protected].
What we keep, and why
Your account
- Your email address and the name you choose, so you can sign in and we can reach you about your account.
- Your signed-in devices: when each session started and ended, its IP address and browser, so you can see and sign out devices in Settings.
- Sign-in links. We store only a fingerprint (a hash) of each link, never the link itself, and it stops working after 15 minutes.
- A security log of important events on your account, like signing in, adding a bot or changing a server, so you can see what happened.
Your Discord account, if you connect it
- Your Discord user ID, username and avatar, and the access Discord gives us, kept encrypted. We use them to check, at the moment of every change, that you own or run the server you change.
- When you connect, you may also be added to Guildmancy's own Discord server; Discord shows you this before you agree.
Your bots and servers
- Each bot's details from Discord and its token. The token is encrypted as soon as you save it, never shown again, and only used to run your bot.
- What your bots do (their commands, panels and messages) and every version you made.
- For servers you change with Guildmancy: their name, channels, roles and permissions, the changes you applied, and up to 20 backups per server, so you can undo.
- A log of what your bots were asked to do (which command, when, whether it worked), kept for 14 days. People who use your bot are stored only as a fingerprint that can't be turned back into their Discord ID.
What you write in the Builder
Your messages to Guildmancy and its answers are kept with your chat, so you can come back to it. To write an answer, the message, the conversation so far and a description of your server's channels, roles and bots are sent to Anthropic, whose AI model writes the answer (see below). Please don't write personal information about other people in the Builder.
What your bots remember
If your bot keeps data (XP, coins, warnings, tickets and the like), it is stored in a database of its own that only that bot can read or change. It is usually about members of your server, by their Discord ID. For that data you decide what is kept and why, and we only store it for you: you see it, change it, export it and delete it in the bot's Data tab, and it is deleted with the bot. If you run a server, let your members know what your bot keeps about them.
Why we may use it
- To provide Guildmancy to you, under the Terms: your account, your bots, your server changes and the Builder.
- To keep Guildmancy and its users safe: sign-in limits, security logs, and stopping abuse. This is our legitimate interest.
- When the law requires us to.
We don't use your data for advertising, we don't sell it, and we don't use what you write to train AI models.
Who helps us run Guildmancy
These companies process data for us, only to provide the service:
- netcup GmbH (Germany): the servers Guildmancy and your bots run on, and the databases.
- Cloudflare, Inc. (USA): protects and speeds up guildmancy.com; every visit passes through it.
- Seznam.cz, a.s. (Czech Republic): sends our emails, like sign-in links.
- Anthropic, PBC (USA): the AI model behind the Builder; receives what is described under “What you write in the Builder”.
- Discord Inc. (USA): your bots run on Discord and you connect your Discord account through it; Discord's own privacy policy applies there.
Where data goes outside the European Economic Area, it is protected by the European Commission's standard contractual clauses or an equivalent safeguard.
How long we keep it
- Your account, bots, chats and server history: until you delete your account (Settings → Delete account), then they are deleted.
- What your bots remember: until you delete it, the bot or your account.
- The log of what your bots were asked to do: 14 days.
- Server backups: the latest 20 per server.
- Sign-in sessions: 30 days after your last visit. Sign-in links: 15 minutes.
Cookies
Guildmancy uses one cookie, which keeps you signed in. It is needed for the service to work, so we don't ask for consent for it. There are no analytics, advertising or tracking cookies.
Your rights
Under the GDPR you can ask us to:
- show you what we keep about you, and give it to you to take elsewhere (you can also download it yourself: Settings → Export as JSON);
- correct it;
- delete it (you can delete your account yourself in Settings);
- limit how we use it, or object to how we use it.
Write to [email protected]; we answer within a month. You can also complain to a data protection authority; in the Czech Republic that is the Office for Personal Data Protection (uoou.gov.cz).
If you are a member of a server that uses a Guildmancy bot and want to know or change what that bot keeps about you, ask the server's owner first: they decide what it keeps. You can also write to us.
Security
Traffic is encrypted, bot tokens and Discord access are stored encrypted, each bot's data is kept apart from every other bot's by the database itself, and only a server's owner or an Administrator, checked with Discord at the moment of the change, can change a server through Guildmancy.
Age
Guildmancy is for people aged 16 and over.
Changes
If we change this policy in a way that matters, we update the date at the top and tell you when you sign in or by email. See also the Terms.
